Create and Manage a Proposal Schedule

Add Proposal Milestones, Meetings, and Reviews to the Opportunity Schedule, integrate Schedule with Outlook, and export schedule.

Auto-Generated Dates

OneTeam creates and maintains a Schedule for each Opportunity. Events, dates, and milestones on the Details tab of an Opportunity are pre-populated in its Schedule. These dates include:

  • RFI Release
  • RFI Due
  • Draft RFP
  • Final RFP
  • Proposal Due
  • Contract Award
  • Contract Start

 

The image shows the dates on the Details tab, including Estimated and Actual dates. If your company has elected to use automatic GovWin integration, these dates populate in the GovWin download and continuously update as they are revised in GovWin.

If there is a date in the Actual     field, OneTeam will use it. If there is no date in the Actual field, OneTeam will use the Expected Date   to populate the Schedule.

If you do not have automatic GovWin integration, the dates will populate from a GovWin download or other properly mapped Excel document. Additionally, you may manually add or edit the dates on the Details tab.

Note: In the example below, some dates have a red star beside the name, which denotes required fields that are individually set by OneTeam user companies. The example company has chosen to make Final RFP, Proposal Due, and Contract Start as Required Fields for the internal BD Stage assigned to this opportunity. The use of Required Fields is optional and is determined by your Company Administrator(s).

When the Details tab date fields populate the Schedule tab, they do not have an      (edit) button. These dates can only be edited in the Details tab of the opportunity. Changes on the Details tab will then automatically flow to the Schedule tab.

Create New Milestones and Events

Use the +Add Task button at the top of the Schedule tab to create your own milestones and events.

When you select the +Add Task button, a new window will open and prompt you to enter:


  • Task Title, required (*)
  • Notes
  • Start Date and Time, required (*)
  • End Date and Time, required (*)
  • Privacy Settings – Checking the Private box means teaming partners cannot view the event.
  • Select Save.

  • Other events to keep the Proposal Team on track.

Integrate Schedule with Microsoft Outlook

Users can integrate Opportunity events with Microsoft Outlook. Select the Subscribe button and this message will be displayed.

  • Open the Calendar view in Outlook 2016.
  • Go to the Home tab in Outlook 2016 and select the 'Open Calendar' pull-down.
  • Select 'from internet' - a field will open for a link.
  • Go to the opportunity in OneTeam, select the Schedule tab.
  • Select the Copy button in OneTeam in the 'Subscribe to these tasks in your calendar' window.
  • Paste your OneTeam Subscribe URL into the field in Microsoft Outlook.
  • Select 'Yes' that you want to add this calendar to Outlook and subscribe to updates.

The Opportunity events, milestones, and tasks will appear as a new calendar in Outlook with the name of the Opportunity. An example is shown here:

Export Schedule to pdf

If you need to export the calendar to a report, select the Export button. A PDF of the Schedule will be added to your Downloads, as shown below.
