Support proposal development as a Writer.
OneTeam helps you streamline proposal development using our custom-built Microsoft Word Add-In to manage the content creation and review process.
Writers play an important part of the Proposal process. The Proposal Manager will create the Outline and map RFP Requirements and assign a writer to each proposal section or heading. The Proposal Manager will auto-generate a separate Writer Package for each assigned writer and then Writers will provide the content for each of their assignment sections.
When a Writer Package is assigned to a Writer for an opportunity, they will receive an email notification letting them know that the document is ready to begin creating text and/or graphics. The email contains:
- Title of the opportunity (Technical and Scientific Services)
- Volume number and name (I Technical Volume)
- Writer's name and their company name abbreviated (ABC)
- Proposal Manager's name and email (XXX@oneTeam.net)
- Due date and time
- Link to their assigned document in OneTeam
Writers receive their assignments in a Microsoft Word document. OneTeam breaks up the Outline for each Volume, which was created by the Proposal Manager. OneTeam groups each Writers’ assigned Headings or sections into a personalized Word document.
Select the link in the email or navigate to the Opportunity in OneTeam and go to the Proposal tab, then select the Project. The Proposal Manager will need to indicate the Project Name for the Writers, since OneTeam can now house multiple Projects per Opportunity. The Project Name may be RFI, Draft RFP, or Final RFP or something similar.
Select the correct Project Name.
Now select the Writer Packages sub-tab and locate the Writer Package assigned to you.
The document title (File Name in the OneTeam column) contains several pieces of data:
SOC – 2 Volume 2 Technical – Donna Hamby (ABC).docx
- SOC is the Opportunity Name
- 2 is the Volume Number
- Volume 2 Technical is the Exact title of Volume
- Donna Hamby is Writer Name
- (ABC) is Donna’s Company Name
Select the assigned file – the Writer’s name is in the file name. When working in Microsoft 365, the document will open in Word Online. If it does, it is recommended that you select the Open in Desktop App button in the toolbar to edit the file on your desktop rather than in a browser.
Creating new content in Word works much better in the Word Desktop application. Here is the prompt after selecting Open in Desktop.
If a ‘Protected View’ alert is displayed, select the Enable Editing button to continue.
If this is a Writer’s first time participating as a Writer in OneTeam, they will be prompted to load the custom OneTeam Word Add-in to Microsoft Word. Follow the steps detailed in Installing OneTeam Word Add-in.
After installing the Word Add-in, you are ready to Add Content to a Writer Package.
